BEFORE DAY ONE

A little preparation.
A smoother move.

We start with a discovery conversation and a shared checklist. Bring exports from your current provider; we confirm what can be imported and agree how each field should map.

Keep the checklist handy ↓
01

Your people and your scope

Confirm headcount, entities, AU/US locations, record types, historical periods and a target launch date. Name an HR owner and an approver.

02

Your existing data

Gather CSV/XLSX exports, employee identifiers, leave balances as of an agreed date and a document inventory. Confirm that your current vendor permits the export.

03

Your policies and permissions

Bring approved leave policies, manager relationships and access requirements. Agree who can see what and who signs off local policy settings.

THE ROAD TO YOUR FIRST FOLIO DAY

One shared plan.
No mystery steps.

A sample 14-day sequence for standard integration. Each stage has a clear checkpoint. Custom data imports follow a separately negotiated schedule.

  • Source data and gaps reviewed
  • Import scope and ownership agreed
  • Training audience and sessions planned
CHECKPOINTYour HR owner approves the migration plan.
DAYS 3–6 02

Import & configure

Run a trial import, organise documents and configure the agreed employee and leave structure.

  • Sample records imported first
  • Duplicates and missing fields flagged
  • Entity and access rules configured
CHECKPOINTField mapping and sample records approved.
DAYS 7–10 03

  • Final export and reconciliation
  • Employee induction and quick guides
  • Service desk handover and follow-up

A HELPING HAND AFTER HELLO

Train for the everyday.
Support for the unexpected.

Start with role-based learning: HR administrators learn configuration and records, managers practise approvals, and employees learn the portal. Build ongoing employee training plans and track completion as your team grows.

After launch, the service desk is the place for how-to questions, issues and follow-up. Support tier, hours and response targets are confirmed in your service agreement.

THE DETAILS THAT MATTER

Before we get going.

Can you import from any HR vendor?+

The proposed import service works from vendor exports rather than assuming a direct connector to every provider. CSV/XLSX employee data and document exports are assessed during discovery. Proprietary formats, unavailable fields and export restrictions may require extra work or a revised scope.

When does the 14-day timeline begin?+

The standard 14-day integration begins after scope, access, usable exports and decision-makers are ready. This example uses elapsed days. Custom data imports may have different timelines, as negotiated. Multiple legacy versions, mismatched formats and reconciliation needs are assessed before a tailored import schedule is agreed.

What happens to our old system?+

Agree a cutoff and an access/retention plan with your existing vendor. Keep the source available for validation until your team approves the move. Folio would not cancel the old subscription or delete source records on your behalf.

What costs extra?+

The example Team tier includes standard migration within an agreed scope. Essentials migration starts at A$490 or US$350 once. Complex history, custom transformations, additional training and bespoke integrations are scoped and quoted separately. All prices on this site are illustrative and exclude applicable taxes.

Will this page upload our records?+

No. This is a static mockup with no upload service or working HR backend. A real migration would agree a secure transfer method, access controls and retention arrangements before any employee information is shared.
